Proctored Final Exam Procedures

As an NCAA student, you are responsible for all aspects of arranging your Proctored Final Exam: scheduling date, time, location and arranging for a proctor.

The proctor may not be a coach (any coach--not just your coach), gym teacher (any gym teacher--not just your gym teacher), friend, family member or tutor. This is an NCAA requirement. 

  • You must have completed all the course requirements/lessons before scheduling your exam.
  • You must take the proctored exam within 30 days of completing the last lesson. If you are unable to take the exam within 30 days, you must write through the proctored exam link on your student desk and request an extension. 

1. Complete all the course lessons/requirements. 

2.  Contact and schedule your proctor. The proctor must be a professional such as a schoolteacher or librarian. All proctors must be approved by Whitmore School before we can send your exam. Students wishing to take their final exam on a Monday must set up the Final Exam time to be no earlier than 10 a.m. EST. Final Exams cannot be taken over the weekend or holidays.

3.  Notify the Exam Coordinator.  You must give us one-week notice and provide all required information. Without a full week notice we will not have time to contact and approve your proctor.  Click on the Proctored Exams link located on your Student Desk and provide the following information:

  • Full name of proctor
  • Proctor's phone number (with area code and country code if out of USA)
  • Proctor's email address
  • Proctor's relationship to the student
  • Name of course student wants to take final exam
  • Date and time of agreed Exam date
  • Time Zone where you will be taking exam

4. The exam will be emailed to your proctor as a PDF attachment, the morning of the scheduled Final Exam.  

5.  You must arrive at your arranged testing location 15 minutes prior to your arranged testing time. You must provide a photo I.D. confirming your identity to the proctor. (If you do not have a photo ID, your parent must provide his/her ID).  

6.  Your proctor will remain in the testing room during the entire exam.  

7. The Final Exam must be completed in black ink or black pencil.  No outside sources may be used during exam. This includes, but is not limited to, the Internet, books, translators, calculators (unless otherwise specified)*, other people, computers, cell phones. Scrap paper may be used by the student to work out problems.

Acceptable calculators
Calculators permitted during final exam are:

  • Scientific calculators
  • Four-function calculators (not recommended)

If you have a calculator with characters that are one inch or higher, or if your calculator has a raised display that might be visible to other exam-taker, you will be seated at the discretion of the final exam supervisor. You are not required to clear the memory on your calculator.

Unacceptable calculators
You are not allowed to use any of the following items as a calculator:

  • Laptop or a portable/handheld computer
  • Calculator that has QWERTY (keyboard-like) keypad, uses an electrical outlet, makes noise or has a paper tape
  • Electronic writing pad or pen-input/stylus-driven device
  • Pocket organizer
  • Cell phone calculator

8.  You will complete the final exam the same day it is administered. It may not take place over a series of days or over the weekend. You will return the final exam and all scrap paper used to the proctor.

9.   The proctor will sign the proctor form and provide a photocopy of his or her I.D. The proctor will fax or scan and attach your exam to our email no later than 4 pm EST time. The proctor will mail the hard copy of the exam to the school. 

10. A passing Final Exam score is 60%. This Final Exam counts for 20% of the student's final grade. If a student does not pass a proctored exam, no credit for the course will be issued and the student may opt to repeat the course (additional fee of $150).
